Aptem Onboarding

How to get started with our Apprenticeship Management System

Aptem is the dedicated Apprenticeship Management system that Northumbria University uses to oversee all apprenticeship activities.

Before starting your apprenticeship, you must complete a two-step onboarding process through Aptem. You will receive an email from the University once you are ready to start the onboarding process.

The first step of onboarding involves submitting essential information and evidence. This process takes approximately one hour to complete. Please ensure you complete this step by the deadline provided in your onboarding email invitation.

Important Notes:

  • Please check your assigned apprenticeship programme is correct.
  • You must use employment details related to your apprenticeship, exclude part-time or previous work experience.
  • Please have the following ready:
    • National Insurance number.
    • Proof of identification and residency (such as your passport or birth certificate).
    • Emergency contact details.
    • Previous qualification certificates.
    • A copy of your CV.
    • ULN (Unique Learner Number) if available, and your workplace mentors name.
    • If required, you will also need proof of name change (such as a copy of your marriage certificate).

You must complete all 10 sections listed below.

Onboarding Sections:

1. Introduction
Read through the onboarding information from our Applicant Services Team before you begin.

2. Welcome to Northumbria University Newcastle
Watch a short video about Northumbria University.

3. Individual Learner Record (ILR)
Complete required personal and employment details, including your National Insurance Number. Please note, if you are applying for the Police Constable Degree Apprenticeship then you must put your employers address as your personal address

4. Extended ILR
Upload proof of identification and residency, such as a passport or birth certificate, and provide emergency contact details.

5. Your Prior Learning Status
Review information about qualifications and evidence needed.

6. Personal Learning Record
Upload your qualifications, starting with the highest attained, and remember to save after each upload.

7. Competencies
Read instructions for the next step – ‘Skills Radar.’

8. Skills Radar
Allow 45 minutes to complete this section. Provide supporting evidence if you score yourself a 5 in any component.

9. Additional Documentation
Upload your CV, ULN number (if available), and proof of name change (if applicable). Provide your workplace mentor’s name.

10. Completion
After completing all sections, click ‘Finish’ to submit Step 1 of your onboarding.

 

 

Once you have successfully completed Step 1 of the onboarding process, the University will contact you via email.

You will be required to upload and sign your Apprenticeship Agreement and Training Plan to in Aptem. These documents are required by the Education and Skills Funding Agency (ESFA) for your apprenticeship to be valid and funded. They must be signed by the deadline mentioned in your email and before your apprenticeship begins.

Steps to Complete:

  1. Log in to Aptem to complete remaining employment information.
  2. Access and sign the Apprenticeship Agreement and Training Plan under the ‘Compliance Documents’ section in your Aptem dashboard.
  3. Ensure your employer also signs these documents.

Please note: You won’t be able to access your Learning Plan until your practical period begins.

If you have any problems accessing Aptem, please expand the sections below for the answers to the most frequently asked questions. If you still need support, please submit an enquiry by the contact form at the bottom of the page.

Use your University username (e.g., w10723455@northumbria.ac.uk) and password. Make sure to select the "SSO" (Single Sign-On) option when logging in.

If you are unable to access Aptem using your University credentials via the SSO function as described above, please try the following:

  • Clear your browser’s cache.
  • Try log in using a different browser.
  • Try log in using an incognito window.
  • Try log in using a different device.

If you are still unable to log into Aptem, please contact the Aptem Support Team via the contact form below.

You can reset your password using DUO or the IT Chatbot (available 24/7).

If you have also forgotten your username, you will need to use the IT Chatbot.

If your mentor or manager is unable to access Aptem, please advise them to try the following:

  • Clear their browser’s cache.
  • Try log in using a different browser.
  • Try log in using an incognito window.
  • Try log in using a different device.

If they have forgotten their password, this can be reset via the ‘Forgotten your password?’ feature of the log in screen.
